Emergency Alerts

In times of crisis ie: bushfire, major flooding event etc, the council website can be the first point of call for local residents.

The Emergency Alert feature of Unity will assist directing website traffic to State Government Agency response websites quickly and efficiently. When activated, a pop-up alert will be displayed on your website home page/s displaying key information and links.

You can configure multiple alerts in advance, so they can be activated quickly and easily in an emergency. See the below sections for creating Alerts and how to activate them in an emergency.

It is recommended that you test the Alert pop-up works on your website. Follow the steps below so you can test the Alert pop-up works with your website templates.

 

Creating Alerts

From the Content menu go > Communication Docs and select Alerts.

The Alerts page will open, Select New Alert:

The New Content Alert window will display where there are three tabs to register information about the Alert:

Mandatory fields are marked with a red asterix and must be completed.

 

Details Tab

  • Alert Title:  enter a title for your alert. This title will appear at the top of the pop-up alert window.
    • Note: Alerts can be created in advance so you are prepared in an emergency. Think about using a generic title so you can have your alert ready to be activated at any time. 
  • Sites: tick the boxes to select which site areas you would like the alert to be displayed on when it is activated.
  • Default Page Only: select 'Yes' to have the alert only display on the default page (home page) of your chosen site/s when activated. Select 'No' to have the alert displayed on all pages in your chosen site/s when activated.
  • News Link - URL: this field is optional. Copy and paste a link here where the user can go to read more information regarding the alert or emergency.
  • News Link - Title: this field is optional. Enter a title for you link. This will be displayed in the alert pop-up window.

Modifying Links

The Links tab allows you to configure a set of images/logos that can direct users to a URL.

When you first create a new Alert a default set of links are generated. These appear in a list in the bottom section of the Links tab.

If you wish to modify this list you can reorder, delete or modify as needed.

  • Reorder links: click the Reorder button then drag and drop the boxes. Click Save Order when you are happy with your changes.
  • Delete links: click the blue trash can icon alongside a link to remove it.
  • Edit links: click the edit icon to make changes. See the next section on creating links for more information about the properties of a link.

Creating Links

When you first create a new Alert a default set of links are created. You can add your own custom links to the list. To create a new link complete the fields in the top section of the Links tab then click Add.

  • URL: enter a URL where you would like to direct the user. Make sure you include the full URL including "http://"
  • Title: the title will assign the alt text of the image. This is important for accessibility.
  • Image Filename: Upload you image into GUI graphics and type the file-name assigned by Unity here.
  • Use In Locale: tick the box to target your audience. If the user is outside of the chosen locale they will not see the pop-up alert. 

When you have finished configuring your link, click the "Add" button to add it to the list of links. If you would like to modify the links listed see the above section on modifying links.

Admin Tab

The Admin allows you to configure generic properties of your Alert. These fields are optional and don't need to be modified for your Alert to work.

  • Search Priority: allows you to control how likely your Alert will appear in the search results of the website.
  • Date Published: is assigned automatically.
  • Owner: will default to the user creating the Alert but can be changed.

By leaving the dates as the default (see image below) your Alert will be ready to use after submitting it and deploying the website, but you can manually control when your Alert will become active and when it expires if you wish. 

Content Dates Section

To make your Alert become active at a future date/time first change Active to No, then enter a future Active Date.

Enter an Expiry Date and time if you know when you would like the Alert disabled on the website.

If you require a reminder to update your Alert, you can enter a Date To Update.

To receive regular reminders enter a number in the Update Frequency field: ie every 30 days.

Saving Your Alert

When you have finished inputting all relevant or required information for the Alert, Select Save / Submit.

If approvals are enabled the Approved Content Alert window will open.

Comment Tab: enter a comment to your Approval Officer/Manager advising of the changes you have made to the Event.

Notification tab:scroll down until you find an Approver’s name and tick the box alongside their name.

Scroll down and select Save.

If Approvals are enabled, the selected Approval Officer will receive an automated email message advising them to Approve the Event.

After creating any content in unity, the final step is to Deploy.

 

 

Activate and Deactivate Alerts

Activating an Alert

When you first login to Unity you are presented with the welcome screen where you will be able to Activate an Alert.

The current Alert status is shown. To Activate an alert click the "OFF" toggle to change it to "ON".

The below window will appear. Select the Alert you would like to activate and then click Save.

If you need to create a new alert you can select "Create New" and you will be taken to another screen to setup an Alert. See the above section "Creating Alerts" on this page for more information.

After activating your alert the toggle will show "On" in red like below:

Now Deploy your website to finish activating your Alert. Check the home page of your site to verify the Alert is working.

 

Deactivating an Alert

If an Alert is currently activated on your site, the Alert toggle will be shown like below:

To deactivate the Alert click the red "On" toggle so it changes to "Off" like below:

Now Deploy your website to finish.
